Pricing & Billing

Nestlings has two separate billing relationships: organizations pay Nestlings for the platform, and providers bill families for care — those are handled differently.

Organization plans (what you pay Nestlings)

Every plan starts with a 30-day free trial. GST/HST is applied on top based on the organization's province, set in Settings.

Day homes under an agency don't pay directly — the agency's plan covers them. Everyone else (independent day homes, centers) subscribes on their own.

Trial and subscription status is managed from the app's Settings screen (owner/admin only). Agency billing is currently handled manually — talk to your Nestlings contact to set up or change an agency plan.

Billing families (what parents pay you)

This is separate from your Nestlings subscription — it's money that flows from a family to your organization, not to Nestlings.

  1. Create an invoice from the app's Billing tab — GST/HST calculated automatically from your tax rate.
  2. Parents pay by card in the app (via Stripe), or you record a cash/e-transfer payment yourself.
  3. Each parent sees their payment history and a "{year} tax receipt" summary in their app for the income-tax child-care claim.
  4. You print the official signed annual tax receipt for each family from the dashboard's Reports page — usually a February task.

Nestlings never touches this money beyond processing the Stripe payment — you set your own fee schedule and payment terms with families.

Agencies: a different shape

An agency's own subscription (above) is separate from the families' invoices, which are still billed by each individual day home, not the agency. The agency's Billing page in the dashboard covers only its own Nestlings subscription — for now, agency invoicing is handled manually by the Nestlings team rather than self-serve.
